Accounts Payable Specialist

Background

  • Works under general supervision of the Controller to ensure the company's financial obligations are recorded promptly and accurately
  • Perform a variety of tasks in the daily processing of accounts payable transactions that are frequently non-routine and require the application of thorough knowledge of bookkeeping and a basic knowledge of accounting practices. Provide administrative support to ensure effective and efficient office operations

Tasks

  • Receive and verify invoices, receipts and requisitions for goods and services
  • Verify that transactions comply with financial policies and procedures
  • Prepare, code and maintain batches of invoices for data entry
  • Enter invoices into system for payment
  • Manage the weekly check run
  • Match vendor invoices and supporting documentation to check run
  • Prepare vendor checks for mailing
  • Analyze and rectify discrepancies to vendor statements
  • Troubleshoot for missing invoices, packing slips, purchase orders and pricing verification
  • Maintain monthly corporate credit card analysis and reconciliation
  • Enter daily work-in-process inventory into excel spreadsheet

Specifications

  • Two (2) years of vocational training that provided knowledge of generally accepted accounting procedures; or six (6) semester hours of college level accountancy; or sixty (60) semester hours of college course work in office occupations, business administration or closely related field may be substituted for and/or added together with up to two (2) years experience listed below
  • Three (3) years of work experience and/or on-the-job training that provided knowledge of generally accepted principles, theories and practices used in bookkeeping
  • Knowledge of:
    • Accounts payable practices and procedures (Intermediate level)
    • Office equipment, methods and procedures (Basic level)
    • MS Office software package (intermediate level)
  • Skill in:
    • Organizing, analyzing and interpreting data
    • Customer service and dealing with a wide variety of people at all levels
  • Ability to:
    • Apply accounts payable practices and procedures
    • Apply office methods and procedures
    • Communicate effectively, orally and in writing, with a wide variety of people
    • Multi-task and work with frequent distractions
    • Understand and interpret written procedures and guidelines
    • Operate electronic and/or standard office equipment
    • Maintain confidentiality
    • Pass pre-employment drug test and monthly random checks
